Senior Coordinator, Creative Sync Licensing and Brand Partnerships
Description
- Schedule team meetings, book conference rooms and set up zoom links or conference lines; attend meetings when assigned and circulate detailed notes to respective teammates
- Greet meeting participants (artists, artist teams, clients), set up meetings with required materials/media, make reservations or food arrangements when needed
- Identify and help facilitate key Brand and Sync opportunities across the roster including, but not limited to, brainstorming partnerships, researching marketplace trends and proactively contributing ideas to overall artist plans
- Track audio assets, compile and tag all metadata on assets and fulfill audio requests externally to clients and internally as needed and with discretion
- Maintain and update all team databases (i.e. adding contacts, logging pitches, tracking incoming Sync licensing requests/confirmations and Brand pitches/opportunities, marketing blasts, updating reports, etc.)
- Assist in product placement execution and event sponsorship opportunities through supporting the Team Lead and, as assigned, conducting outreach, coordinating contract execution, and ensuring deliverables are met
- Create, update and maintain priority documents and external pitch decks
- Create and execute weekly mailers to both Brand and Sync clients externally
- Oversee and manage show ticket processes and be willing to cover all shows when requested
- Interact with vendors and promptly process invoices
- Maintain a strong working knowledge of artist roster, employees, and external contacts
- Manage calendars and coordinate incoming/outgoing meeting requests
- Screen and direct incoming requests
- Manage and submit expense reports
- Book business travel as needed (accommodations & transportation)
Requirements
- Position is located in Hollywood, CA; candidates must be willing to work from this location
- Must have a passion for all genres of music and popular culture
- Exceptional administrative, organizational, writing, time-management, communication, and creative skills
- Strong computer program skills: Microsoft Office, Google, Canva, Adobe, MailChimp, Keynote, PowerPoint, Digital Media savvy, Photoshop or InDesign a plus
- Self-motivated, positive attitude and work well under high pressure and speed
- Great social and interpersonal skills, direct experience with talent a plus
- Ability to interact with multiple levels of personnel and work well with others
- Ability to keep information highly confidential
- Ability to handle multiple projects and meet deadlines
- 2 - 4 years of agency, label and/or administrative experience in the music/entertainment business
