Production Coodinator
Description
- Manage daily and weekly scheduling for the Head of Creative and Sr. Manager Production
- Assist department with various administrative needs including meeting preparations
- Process expenses on a weekly/monthly basis for Creative Leadership team
- Assist in maintaining budget grids, submits, and tracks invoices for payment with AP
- Works closely with Sr. Manager Production and VP of Creative to track and maintain monthly budget accruals
- Participate in Creative Department’s Finance meetings with VP of Creative and Sr. Manager of Production to ensure all information that is needed by Finance is properly logged and tracked monthly.
- Work closely with Sr, Manager Production to build robust freelance pool (for such roles as: Art Director, Designers, Production Artist, Editors, etc.)
- Assist with legal requests forms and help build a system to track all requests
- Participate in production meetings
- Assists with trafficking of assets, file organization, download, uploads, distribution, and on-going support for Production with our internal and external business partners
Requirements
- 2+ years in an EA or Coordinator
- Strong experience with Excel spreadsheets, grids, charts, and data entry
- Experience with Basecamp, Mavenlink or similar task-oriented PM tools
- Understand financial and budget management on a basic scale
- Experience with working with several executives, business partners and/or internal teams, understand priorities amongst requests and meetings
- Proficient computer skills including Excel, Google Sheets, Microsoft Office, Adobe Acrobat
- Understand confidentiality of information and protect/safeguard information as needed
- Proven self-starter with a strong work ethic: resourceful, punctual, and energetic.
- Team-player, flexible, adaptable, personable, and able to work well with others, takes direction, and fulfills responsibilities under stress or pressure, with minimal direct supervision
- Excellent time management with strong attention to detail, organizational skills and follow-through
