Coordinator Music
Description
- Maintain complex calendar, contacts, and provide updates for the Senior Vice President of Motion Picture Music.
- Screen heavy call and email volume, roll calls, update call sheets, and arrange appropriate follow-ups.
- Arrange meetings, calls, and events, such as screenings for executives and talent - domestic or international.
- Read scripts and create, track, and continuously update music breakdowns throughout the life span of a project.
- Draft and track music clearance requests; create and update music “clearance breakdowns.”
- Monitor and understand music rights deals for each project.
- Maintain detailed physical and digital files of corporate documents and audio files, stems, demos, lyric sheets, budgets, cue sheets, etc.
- Proactively monitor and update key project dates.
- Draft music briefs and assist in making playlists as directed.
- Coordinate frequent and complex travel arrangements, often with short notice.
- Monitor and submit expense reports in a timely manner.
- Organize and distribute mail, office supplies, and storage inventories.
- Ad hoc research and projects as the need arises.
- Perform additional administrative duties such as filing, typing, and copying documents as assigned.
- Act as a liaison between internal and external contacts in a professional, clear manner.
Requirements
- 1-2 years of previous assistant, coordinator, agency or music supervision experience preferred.
- Proficient in outlook, excel, google sheets/drive, box.
- Knowledge of music process from demo to final master.
- Knowledge of the film and music industry and key players within them.
- High level of attention to detail and efficiency.
- Be organized, efficient, and have strong written and verbal communication skills.
- Ability to learn and work quickly and complete tasks without follow-up.
- Ability to multitask and prioritize.
- Willingness to ask questions.
- Exemplary conduct with high profile clients and personnel.
- Experience working with or supporting musicians.
