Description

This person will provide high-level administrative support to Another Planet Entertainments VP as well as the booking department, enhancing effectiveness by providing information management support. Conducting research, managing venue calendars, preparing offers, preparing statistical reports, handling information requests & disseminating booking information to the company, and performing clerical functions such as preparing correspondence, receiving visitors, reservations, appointments, arranging conference calls and scheduling meetings. Ideally this person would partner with our booking staff for years to come, someone who keeps a strong pulse on executives priorities and inspires confidence. Able to identify and address the needs of executives and perform administrative tasks to ensure the booking department’s workflow runs smoothly.
Responsibilities:
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Manage the President of Concerts and Festivals schedule, set up calls, schedule meetings, etc.
  • Read and analyze incoming memos & emails , submissions and reports to determine their significance and plan their distribution.
  • Project manage booking department documents, records and reports.
  • Manage venue event calendars
  • Manage event calendars for Bill Graham Civic Auditorium, Greek Theatre and APE Ancillary venues
  • Provide avails/holds, maintain calendar as necessary and provide monthly updates.
  • Maintain overall knowledge of calendar & date communications
  • Draft & send offers & updates when requested
  • Facilitate correspondence with agents to answer questions & emails
  • Book local artists as support at the Independent or any APE ancillary clubs when requested
  • Create, organize and manage President files for all his projects.
  • Show confirmation distribution:
  • Disseminate details for shows & events with offers & on-sale information for booking department
  • Distribute show updates to booking, box office, marketing, production, operations
  • Schedule all booking calls & meetings, including compiling agenda items
  • Coordinate producer responsibilities for Outside Lands & Life is Beautiful as well as new opportunities.
  • Festival booking coordinator duties
  • Contracts, Offers & Confirmations
  • Reply to all artist confirmation emails with notes & markup to deal points
  • Contract review, markup and execution
  • Announce & on-sale: coordinate with artist teams to ensure deliverables are being met: announce, social posts, websites, etc.
  • Collect all artist assets & contact information from agencies/management

Addition Projects Included but not limited
  • Update personal calendar of CEO, adding all shows, appointments & meetings when requested
  • Update CEO’s contacts when needed
  • Assist with projects when needed, read articles & keep ears to the ground for new, up and coming acts.
  • Book travel when requested for booking department
  • Work directly on venue projects and improvements for Bill Graham Civic Auditorium, Fox Theater, Greek Theatre, New Parish and Independent.
  • Analyze other promotional product company’s offerings to ensure we continue to be competitive with our top products as well as looking for new product offerings

Requirements

  • An extremely high sense of urgency and ability to work in fast-paced, ever-changing environment

  • Ability to work long hours, with various personality types
  • Handle sensitive and confidential information
  • Incredible time management skills and able to handle multiple competing priorities and to constantly re-prioritize
  • Must be able to think and react quickly and creatively in unique situations requiring professionalism and composure
  • Proficient in Microsoft Suite, Adobe Suite, Google Drive, Dropbox Illustrator and Photoshop desired not mandatory

Another Planet Entertainment, LLC (Another Planet) was created on July 18, 2003 when Gregg W. Perloff, President/CEO of Bill Graham Presents, left to build his own company. Shortly thereafter he was joined by longtime colleagues at Bill Graham Presents Sherry Wasserman, former Senior VP and Head of Concert Production at BGP, and Steve Welkom, former Senior VP of Administration and Business Development for BGP. In November of that year, Allen Scott and his concert promotion company, Mystery Machine Productions merged with APE, solidifying the company's foundation. On August 16, 2003, Another Planet, in a collaborative effort with Giants Enterprises, presented its first concert featuring Bruce Springsteen & The E Street Band at Pacific Bell Park in San Francisco. Another Planet was selected soon after by Dave Matthews Band to produce and promote its major outdoor benefit concert at Golden Gate Park in San Francisco on September 12, 2004. Another Planet is the exclusive promoter for the Greek Theatre, an 8,500 capacity outdoor amphitheatre in Berkeley, the Fox Theater in Oakland, the 2,800 capacity venue, The Independent, a 500 capacity nightclub in San Francisco, and the 8,000 capacity Lake Tahoe Outdoor Arena at Harveys. In 2010, APE was honored to be awarded the exclusive contract to operate the historic Bill Graham Civic Auditorium in San Francisco, a flexible capacity multi-use event and concert space that holds up to 8,500. Another Planet has also successfully produced two major festivals in San Francisco – Outside Lands Music & Arts Festival (beginning in 2008) and Treasure Island Music Festival (beginning in 2007).
