Administrative Assistant, Marketing Strategy
Description
- Assist with administrative and day to day duties including:
- Answering and screening calls
- Manage calendars and schedule meetings via Zoom, telephone, and email
- Book employee travel, accommodations, and car services
- Maintain and order office supplies for the team
- Process employee expenses
- Facilitate packing and shipping needs
- Assist with managing and organizing meetings, showcases, and events
- Create and maintain marketing documents including:
- Project timelines
- Artist one sheets
- Marketing docs
- Audio and video release schedule
- Artist decks and infographics
- Distribute meeting agendas, record notes, and facilitate appropriate follow ups
- Manage quarterly budgets for roster including understanding of reservations, fund transfers, vendor setup, requisitions, and creation of POs
- Collect, organize, label, upload, and circulate artist assets into content management system
- Draft short form agreements for visual content from independent contractors as well as various authorization and administrative forms
- Assist the marketing strategist with implementation of various marketing campaigns
- Oversee applicable pitches to internal teams & external partners
- Coordinate artist travel & promotion schedule with artist relations team
- Generate weekly reports based on platform support using internal and external analytical tools such as Spotify For Artists, Mediabase, Music Connect, and Chartmetric
- Contribute & ideate on projects bringing fresh ideas to the artist development process
- Participate in external artist related events such as shows, music festivals, and promo visits.
- Any additional duties as assigned.

- Excellent knowledge and application of Internet resources
- Ability to interact comfortably and effectively with employees at all levels including Senior Management globally
- Bachelor’s Degree required
- Prior administrative experience in the music/entertainment field is required
